Information we collect
When you contact us, we collect your name, email address, message and any other information you choose to provide.
Our website and security systems may also record technical information, including your IP address, browser details and activity needed to operate and protect the website.
Please avoid including sensitive personal information or information about other people unless it is necessary for your enquiry.
How we use your information
We use your information to respond to enquiries, manage related correspondence, operate the website and protect it against spam, fraud and misuse.
For general enquiries and website security, we rely on our legitimate interests in communicating with readers and other contacts and maintaining a secure website. Where an enquiry involves entering into a contract, we may process information to take steps at your request before that contract.
We do not add you to a marketing mailing list simply because you contact us.
Storage and service providers
Enquiries are stored in our WordPress website and delivered to our email inbox.
Our service providers include Fasthosts for website hosting, IONOS for email, and Concordant Technology Management for website administration and technical support. Website backups are stored using Dropbox.
These providers may process information as necessary to deliver their services. We may also disclose information where required by law.
Some providers may process information outside the UK. Where this occurs, applicable data protection rules require appropriate safeguards, such as an adequacy arrangement or approved contractual protections.
How long we keep information
We retain general enquiries for no longer than three years after our last substantive correspondence, and delete them sooner where they are no longer needed.
If an enquiry becomes part of a contractual relationship or legal matter, relevant records may need to be retained separately for longer to meet legal obligations or establish, exercise or defend legal claims.
Deleted information may remain in backup copies until those copies expire under our backup retention schedule.
Cookies and analytics
We use essential cookies and similar technologies to operate and secure the website and remember your cookie preferences.
With your permission, we use Google Analytics 4 to understand how visitors find and use our website. This includes information such as pages visited, interactions, approximate location and browser or device details. We use this information to improve the website.
Google Analytics is blocked until you accept analytics cookies. You can reject them or withdraw your consent at any time through Cookie settings. Rejecting analytics cookies does not prevent you from browsing the website or contacting us.
We rely on your consent for analytics. Google Analytics 4 does not log or store individual IP addresses. Our user-level and event-level data retention settings are set to two months; aggregated reports may remain available for longer.
Google may process information outside the UK, subject to applicable transfer safeguards. Further information is available in Google’s Privacy Policy.
See our Cookie Policy for details of cookies and similar technologies used on this website.
Your rights
Depending on the circumstances, you can request access to your personal information, correction, deletion, restriction of its use or transfer to another service. You can also object to processing based on legitimate interests.
Where we rely on consent, you can withdraw it at any time.
Contact paul@broadwaterbooks.co.uk to exercise your rights or raise a concern. You can also complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/.
